Data We Collect
What we do NOT collect
TrustDoc AI is designed around a privacy-first architecture. We do not collect, store, or process the following:
- Your name, address, or any personal identifiers entered into the wizard
- The property address, title number, or purchase price you provide
- The beneficial interest percentages or trustee details you enter
- The generated PDF document
- Your IP address (beyond standard server request logs, see below)
- Any login credentials (there are none)
Session data (browser only)
When you use the TrustDoc AI wizard, the form data you enter is held temporarily in your browser's session storage or working memory for the duration of your visit. This data:
- Exists only in your browser โ it is never sent to our servers until the moment of document generation
- Is cleared automatically when you close the browser tab or window
- Is not accessible to us at any point before or after generation
Server request logs
Our hosting provider (like all web hosts) automatically records standard server access logs, which include IP addresses, timestamps, and the URLs accessed. These logs are retained for up to 30 days for security and diagnostic purposes and are not used for any other purpose. These logs are governed by our hosting provider's own data retention policies.
How We Use Data
The only use of your data is to generate your document. Here is the exact flow:
- You enter your details into the wizard form in your browser.
- On submission, your inputs are transmitted over an encrypted HTTPS connection to our server.
- Our server constructs a structured prompt using your inputs and sends it to the OpenAI API (see Section 3).
- The AI response is used to generate your PDF document.
- The PDF is returned to your browser for download.
- Your inputs and the generated PDF are not saved to any database or file system on our servers after this process completes.
We do not use your data for marketing, profiling, analytics, or any purpose other than generating your requested document.
Third-Party Services โ OpenAI API
TrustDoc AI uses the OpenAI API to power document generation. When you click "Generate Document", your wizard inputs (including names, addresses, and property details) are transmitted to OpenAI's servers in the United States as part of a structured API request.
OpenAI's data handling
- OpenAI operates under its Enterprise Privacy Policy when accessed via API.
- API data is not used to train OpenAI's models by default under their API terms.
- OpenAI may retain API request data for up to 30 days for safety monitoring, after which it is deleted.
- Transfers to the US are governed by OpenAI's Standard Contractual Clauses under UK GDPR Article 46.
If you are concerned about sending personal data to a US-based AI provider, you may wish to use pseudonyms or abbreviated versions of names during the generation process and insert the correct legal names manually into the printed PDF before signing. Please ensure the final signed document contains the correct full legal names.
No other third-party services receive your personal data. We do not use third-party advertising networks, data brokers, or social media tracking pixels.
Your Rights (UK GDPR)
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the following rights in relation to your personal data:
Because we do not store personal data server-side, most requests cannot be fulfilled in the traditional sense โ there is simply no stored data to provide, correct, or delete. If you have a specific concern, please contact us at privacy@trustdocai.co.uk.
You have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been handled unlawfully.
